Job Description:

Pay Range: $33.17-$40.87

The Project Administrator is a member of the Construction and Design team. The Project Administrator will report to the Senior Director of Design and Construction at our corporate office in San Francisco, CA.

WHAT YOU'LL DO:


-Maintain access for users and filing structure of current and archived specs for properties
-Schedule team meetings and reserve conference rooms using Outlook
-Coordinate presentations and Lunch & Learns with Sales Representatives

-Attend project related meetings or conference calls, including special audit/review meetings and complete meeting minutes
-Collect and distribute dashboards for weekly meetings
-Schedule bid walks and meetings, while confirming times with bidders
-Create sheet indexes
-Create and maintain Project and Vendor Directory
-Craft announcement emails for Design and Construction Department
-Review/Sort incoming mail
-Mail samples and drawings to properties
-Receive samples for active projects, label and prepare samples to present

-Edit contracts and save contract templates in archives
-Assist Designers on misc. projects (create specs, FF&E audit, creating excel spreadsheets of data on carpet vendors, etc.)
-Assist Project Directors & Project Managers on misc. projects
-Assist with invoice processing for payment
-Assist with expense report reviews of department team members
-Assist and Coordinate Corporate reviews with Project Directors & Project Managers for submittals, design topics, and other project topics
-To be proficient in time management
-Manage and maintain the organization of the design library
-Manage the scanning of hard copy drawings into electronic files for Box.com archiving
-Create and maintain Design Guidelines and Standards in Electronic Library
-Research conventions related to Construction and Design
-And other duties and tasks assigned by Sr. Director of Design & Construction
WHAT WE NEED:

-Bachelor's Degree in Business preferred
-Must be detail oriented and organized.
-Proactive communication and problem solving skills
-Strong Excel and Word experience
-Ability to work independently with limited direction from manager
-2+ years of admin experience
-Understanding of the construction process, including legal issues and contractual method
-Great Plains, Procore, Box, Textura, FRX experience preferred
